Building Copilot Readiness Through Security and Governance at UnitingCare Queensland

UnitingCare Queensland provides health and community services across Queensland and the Northern Territory, supporting individuals and communities through a wide range of care and support services.

As the organisation began planning a Microsoft Copilot pilot, UnitingCare Queensland engaged cubesys to carry out a readiness assessment focused on security, compliance and governance.

The Engagement

The engagement began when UnitingCare Queensland reached out to cubesys for support. From a business perspective, there was a desire to start the Copilot pilot quickly. At the same time, the IT team wanted to ensure the work was completed to ensure data security during the pilot aligned with existing controls. cubesys accelerated delivery to accommodate the requested short timeframe for this pilot preparation while ensuring the data security requirements were met for their organisation.

The Readiness Assessment

The assessment involved reviewing the existing Microsoft tenant across identity, security and compliance, providing visibility into how the environment aligned with Copilot requirements with a particular focus on maximising data security.

As part of the assessment, cubesys provided recommendations with priority levels and outlined the risks involved if those actions were not implemented. This allowed UnitingCare Queensland to understand the level of risk and decide whether to accept or mitigate it, either independently or with support. The primary outcome of the engagement was a Copilot readiness assessment document that enabled Uniting Care Queensland to return to the lower priority recommendations at a later date prior to more widescale Copilot rollout for their organisation.

Existing Environment and Key Focus Areas

UnitingCare Queensland already had strong cyber security controls in place, reflecting prior work completed to secure its environment for existing workloads. The assessment helped confirm whether any additional uplift was required specifically for AI readiness.

The cubesys consultants supported the team by clarifying which Microsoft Purview components were most relevant to Copilot, including data loss prevention and sensitivity labelling, and outlined the associated risks if these controls were not implemented.

Working Together

The readiness assessment was delivered as a collaborative effort. cubesys carried out the assessment work while maintaining regular touchpoints with the UnitingCare Queensland team and relying on customer input where required. Through frequent communication and tight project control, cubesys were able to complete the assessment and provide the recommended improvements in a very short time frame to meet the client’s business needs.

“I want to express my sincere appreciation for your outstanding efforts in meeting our needs within such a challenging timeline and I am truly grateful for your prompt support in answering all our queries. Your contributions have been absolutely essential to the successful launch of our pilot, and for that, I cannot thank you enough!”

Outcome

UnitingCare Queensland provided very positive feedback on the engagement, noting the turnaround time and the level of support received. The readiness assessment helped the team feel more confident as they prepared to move into their Microsoft Copilot pilot.

This type of readiness work forms an important foundation for AI Forge, cubesys’ structured approach to AI adoption. AI Forge helps organisations move beyond isolated AI experiments by embedding governance, security controls and real-world use cases into everyday operations. By ensuring the right security and compliance controls are in place early, readiness assessments like this help organisations adopt Microsoft Copilot in a controlled, scalable way that aligns with long-term AI adoption goals.
